What we collect, and why

• Enquiries and registrations — name, contact details and property requirements, used to answer you and to match you with homes. Legal basis: taking steps prior to a contract, and legitimate interest.
• Sellers and landlords — property and ownership details needed to market and manage the property. Legal basis: contract.
• Identity documents — required by the Money Laundering Regulations before we can act on a sale or accept an offer. Legal basis: legal obligation. Retained 5 years after the transaction.
• Tenancy applications — referencing information including income and previous tenancies. Legal basis: taking steps prior to a contract.

Sharing

We share information only as a transaction requires — with solicitors, referencing providers, the Tenancy Deposit Scheme, portals hosting your listing, and contractors attending your property. We never sell personal information.

Retention

Enquiry records: 2 years from last contact. Transaction files: 6 years. AML identity records: 5 years post-transaction, as required.

Your rights

Access, rectification, erasure, restriction, portability and objection — write to hello@ellcottmayne.co.uk. You may complain to the ICO at ico.org.uk if unhappy with our answer.

Cookies

This site sets no advertising or analytics cookies. Local browser storage is used only for anonymous interface preferences and holds no personal data.
