Sales Funnel Calculator: Find Where Leads Drop Off

Seed Light built this free sales funnel calculator so you can see which stage of your funnel sits furthest behind the target you set for it, and model what closing that gap would be worth.

Enter what happens at each step and set a target, and see which stage is furthest behind.

Your funnel, step by step

Everyone who landed on your website.

Calls, forms, WhatsApp messages, sign ups.

The ones that got a real proposal or a cart.

Closed jobs or completed orders.

Used to size the scenario.

A reference assumption, not a universal standard. Change it to whatever your own history supports.

A reference assumption, not a universal standard. Businesses that qualify hard set this lower on purpose.

A reference assumption, not a universal standard. Your own close rate over the last year is the better number.

The maths

How this calculator works

  1. 01

Each step gets a pass rate

How many people made it from one stage to the next, as a percentage. Four stages give you three pass rates, and every leak lives in one of them.

  2. 02

Each rate is judged against your target

Every stage is compared with the target you set for it, so a stage is only flagged when it sits behind that figure. The defaults are reference assumptions, not universal standards. Change them and the answer changes, which is the point.

  3. 03

The largest relative gap is named

The stage furthest behind its own target is the first stage worth investigating. That is not proof of the root cause, and it is not always the easiest thing to fix. It is where to look first.

  4. 04

    Then the scenario is sized

The tool shows what would happen if that stage reached the selected target while every later stage stayed unchanged. This is a scenario, not guaranteed extra sales.

A worked example

A contractor keeps the reference targets as they came. The visitor stage lands exactly on its target, the quoting stage is a little behind, and the closing stage is the one furthest behind. Money is shown in units so the shape stays clear. Example only. Replace these assumptions with your own numbers.

Visitors
2,000
Got in touch
50, or 2.5 in 100, against a target of 2.5
Quoted
30, or 60 in 100, against a target of 65
Closed
9, or 30 in 100, against a target of 35
First stage worth investigating
Quotes that close, at 0.86 of its target
If that stage reached 35 in 100
10.5 sales instead of 9
Scenario value
1.5 more sales a month, so 3,300 units at 2,200 units a sale

Common questions

Common questions about the calculation and how to use the result.

Anyone who takes a real step towards buying: a phone call, a form, a WhatsApp message, a genuine enquiry or a newsletter sign up if that is how you sell.

The visitor step starts with the largest group, so its conversion percentage is often lower. Compare each step with its own previous result, not with another step.

For an online store, use checkout starts as the quote stage and completed payments as sales. This keeps the funnel useful without a formal quotation step.

A monthly check is enough. Checking more frequently can make normal variation look like a trend, leading you to change parts of the funnel that were working instead of waiting for the monthly view of the figures.

The default targets are labelled starting assumptions, not universal standards. Replace them with rates from the same stages in your own sales records. If you lack history, keep the defaults visible as assumptions and change them as real results arrive.

No, it means that is the first stage worth investigating. A gap can come from the stage itself, or from something upstream feeding it the wrong people.
