About the role

Small businesses lose work to slow replies and to information sitting in the wrong place. This role removes both, with workflows that run every day and are watched when they break.

AI steps are used where they genuinely help and tested like anything else. A workflow that produces a confident wrong answer is worse than no workflow at all.

This listing stays up while the role is open, and every application is read.

People in this role work on Seed Light's AI & Automation projects.

Responsibilities

  • Build and maintain workflows in n8n
  • Connect forms, WhatsApp, CRMs, spreadsheets and email
  • Add AI steps where they genuinely help, and test what they return
  • Monitor what is running and fix it when it breaks
  • Write the short document that says what a workflow does and why

Requirements

  • You have built workflows that run every day, not once in a demo
  • You understand APIs, webhooks and JSON
  • Some JavaScript for the steps that need it
  • You are careful with client data
  • You design for the failure case, not only the happy path

Nice to have

  • You have self-hosted n8n or something like it
  • You have worked with the WhatsApp Business API
  • You have connected an AI model to a workflow in production

Tools

n8n, JavaScript, REST APIs, WhatsApp Business API, Google Sheets, Supabase or similar. The licences and subscriptions the job needs are paid for, and knowing every one of these already is not expected.

Your first three months

  • Month 1. You take over the running workflows and fix what has been failing quietly.
  • Month 2. You build new automations for two clients, from the brief to handover.
  • Month 3. You own the automation work and how it is monitored.

Questions about this role

Questions candidates usually ask before applying. If yours is not here, add it to the message box on the form.

The automation specialist role covers any business process, including quotes, documents and internal handoffs. The marketing automation role stays focused on marketing work.

The main platform is n8n because it can be self-hosted. Experience with Make or Zapier still transfers because the core workflow and debugging skills are similar.

A growing amount, and generally with a check on what came back. The interesting problem is usually how to catch a wrong answer rather than how to call the model.

Client conversations are necessary to understand what actually happens in the business today. You speak with clients to establish the real process before building, since an automation based on an assumption has to be rebuilt when that assumption proves wrong.

Monitoring should catch a failed workflow and record the affected step. Routine failures can be handled during working hours. A workflow involving orders or payments needs a clear alert and recovery path because leaving it broken can affect live transactions.

Clients rarely maintain these automations themselves, which is why the handover document matters. The application call will cover your experience documenting a workflow clearly enough for its owner to understand what it does, how it is monitored and what to check when it breaks.

A wrong automation result is stopped by checking the output before anything acts on it. A person also stays in the loop wherever an incorrect result carries a real cost, providing a further check before the workflow proceeds.
